ADMINISTRATIVE ASSISTANT
Rowland Freedom Center – Military Aviation Museum

Position Summary
The Rowland Freedom Center is a small, mission-driven 501(c)(3)
nonprofit dedicated to preserving and sharing the history of military aviation and service. We are
seeking a reliable, detail-oriented Administrative Assistant to support daily operations, visitor
services, events, facility rentals, and administrative functions in our growing museum.
This is a versatile, hands-on role ideal for someone who thrives in a dynamic small-team
environment and is passionate about contributing to a meaningful community institution.
Duties and Responsibilities
• Perform general office duties, daily museum operations, and administrative support as
needed.
• Manage physical and digital filing systems.
• Perform data entry and maintain museum databases
• Coordinate private facility rentals: respond to inquiries, manage correspondence, prepare
agreements, and handle setup, follow-up, and logistics.
• Support museum events by assisting with setup, teardown, on-site logistics, and attendee
needs as required.
• Assist with event communications and marketing, including email and phone outreach,
promotional graphics, social media content, and event promotion.
• Update the museum’s website, social media platforms, and both internal and public
calendars with current information and upcoming events.
• Create and manage email campaigns for newsletters, event promotion, and donor
communications.
• Perform other duties as assigned.
Qualifications
• Highly organized with strong attention to detail and ability to manage multiple priorities.
• Punctual and reliable, with a professional demeanor.
• Ability to work independently as well as collaboratively with staff, volunteers, and
stakeholders.
• Excellent written and verbal communication skills for internal and external partners,
including donors, visitors, and community organizations.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Constant Contact, and
graphic design tools such as Canva (or equivalent).
• Proficient in Google Workspace applications (Gmail, Docs, Sheets, Drive, Calendar, and
Slides) for document creation, collaboration, data management, and scheduling.
• Experience with social media platforms (Facebook, Instagram, TikTok, and video reels)
and familiarity with marketing principles.
• Commitment to maintaining confidentiality of sensitive information.
• Ability to climb stairs and perform light physical tasks as required for office, event, and
facility support.
Preferred Qualifications
• Genuine interest in military history, aviation, or nonprofit mission-driven work.
• Prior experience in customer service, visitor services, events, or administrative roles.
Physical Requirements
• Ability to safely and successfully perform the essential job functions, consistent with the
Americans with Disabilities Act (ADA), Family and Medical Leave Act (FMLA), and
other applicable federal, state, and local standards.
• Ability to maintain regular, punctual attendance.
• Must be able to lift and carry up to 40 pounds occasionally (e.g., event supplies, boxes, or
display materials).
• Ability to climb stairs and move around the museum facility.
• Must be able to speak clearly, listen, and communicate effectively on the telephone and in
person.
Compensation & Work Schedule
• Full-time, hourly, non-exempt position.
• Competitive hourly wage commensurate with experience (pay scale available upon
request).
• Available for 40 hours per week with flexible days. Typical hours Sunday–Saturday, 9:00
AM–6:00 PM.
• Occasional holiday or evening shifts may be required.
• Occasional off-site community events.
• Employment is at-will. This means that either the employee or the employer may
terminate the employment relationship at any time, with or without cause or notice.
Note on Benefits: As a small organization with fewer than 5 employees, we do not currently
offer group health insurance or certain other employer-mandated benefits applicable to larger
organizations. Eligible employees will receive required paid sick leave and other minimum
benefits under California law.
